Step 3: Call three suppliers and ask only one question
The question is: ask for the actual ship date, not the quoted lead time. Lead times are ranges. Ship dates are commitments. Get the ship date in writing. A verbal 'we'll try' is not a ship date.
In March 2024, 36 hours before a site deadline, a client needed 12 cable arm buckets. Normal lead time was 18 days. We called four suppliers. The first two said no. The third had room on their welding line. We paid an $800 rush premium on top of the base cost, and the buckets landed with 14 hours to spare. The client's alternative was a $50,000 penalty clause. I've watched a distributor go silent for three weeks, then come back with a 20% price increase and a 'we'll do our best' delivery date. That's not a supply chain. That's a gamble.
We keep a pre-approved second source for every cable-arm component we spec, even when we order from the primary vendor 90% of the time. The vendor failure in May 2023 changed how I think about backup planning. One critical deadline missed, and suddenly redundancy didn't seem like overkill.

Rush fees. For industrial parts, rush premiums typically run 25-100% over standard pricing, depending on turnaround. That's not a trap; it's the cost of using someone else's capacity. (Honestly, if they quote next-day for free, I'd be suspicious.)
Part-name ambiguity. 'Stretcher' vs. 'extension' is the classic example. The invoice might say 'ev cable arm,' but the part is wrong. Always confirm by drawing.
False compatibility. Universal products rarely are. Per FTC Green Guides, even environmental claims like 'recyclable' need to be substantiated (ftc.gov/green-guides). If a claim doesn't have evidence, don't build your deadline on it.
Single-source dependency. If you're asking whether a supplier is going out of business, you've already lost time. A backup quote is cheap insurance.
